One student record for admissions, fees, attendance and board compliance

Why a school runs better when admissions, fees, attendance and compliance data hang off one student record, with CBSE and DPDP examples.

Why schools end up with many lists

A typical school keeps the admission register in one file, fees in an accounting package, attendance in an app or on paper, marks in a spreadsheet and parent messages in a chat group. Each list is reasonable on its own. The trouble starts when someone asks a question that crosses two of them: which students with fee dues also have low attendance, or which Class IX students still need a registration field filled before a board deadline.

The common cause is that each tool has its own idea of who the student is. A name spelt two ways, a changed phone number or a sibling record is enough to break the match.

The student record as the anchor

EduOS is built around a single student record from enquiry through admission, fees, attendance, exams and parent communication, to leaving certificate and alumni. Everything else attaches to it rather than copying it. Teachers, accounts staff, the front office and parents see different views of the same record, so a correction is made once.

  • A change of phone number or guardian is made in one place and is used by fee reminders and attendance messages alike.
  • A sibling link lets accounts see combined dues without merging two student files.
  • A history of who changed what, and when, stays with the record.

Compliance data is record data

Many requirements that feel like separate paperwork are really views of the student record. Three examples from the public record:

  • Attendance. A CBSE circular dated 4 August 2025 sets a minimum of 75 percent attendance for board eligibility and expects registers to be updated daily, with leave documents and parent communications kept. Attendance that is captured daily on the student record makes the shortage list a report, not a project.
  • APAAR and student identifiers. For 2025-26 registration of Classes IX and XI, CBSE made the APAAR ID a required field, with codes for a parent who has declined. A record with an APAAR field and a consent status lets the office see who is complete and who is pending.
  • Children's data. India's DPDP Rules were notified on 14 November 2025 with an 18-month phased period, and a child's data needs verifiable parental consent. A record that stores who consented to what, and when, is a sensible base. Please check the current dates and exemptions with your adviser.

None of this makes a system "compliant" by itself. It means the information the school will be asked for is already captured in a form it can export.

Fees: clarity before automation

Fee collection is where schools feel the pain of disconnected lists first. A student record that carries the fee structure, concessions, instalments and receipts lets the accounts team see dues by class, by instalment or by family. Online payment links and UPI collection can then be added on top. A few states also regulate fee changes through committees, so keep the approval history of a fee structure on the record.

Start with one workflow

A school does not need to switch everything on the first day. A sensible first step is one workflow, such as admissions and fee collection for one class, or daily attendance with parent alerts. Run it for a term, review what the staff actually use, then extend.

What we are careful not to claim

We do not claim that EduOS is certified or "compliant" with any board, and we do not claim integration with government portals. Where an export is needed, we describe it as an export-ready format agreed with the school.
